Today
A request arrives and waits until someone has time to open the management system, find the customer, and search for the reference.
Requests and quotes · Respond to customers
The agent reads requests arriving by email, identifies the customer, finds references in your systems, and prepares a sourced proposal. The person responsible approves, corrects, or rejects it. Nothing is sent to a customer without that person.
Free discovery audit. Written scope and quote before work begins.

· The situation
A price request can be three lines long. Answering it may require opening management software, finding the customer, identifying the right reference, checking the price, sometimes asking a supplier, and then writing the reply. None of these steps is difficult. Together they take time while the next request waits.
Automating quotes means assigning the repetitive part to a system: read and classify the incoming message, match the sender to your customer records, find each requested reference in your catalog and then, when needed, with suppliers you already use, and assemble everything into a proposal ready for review. Every item includes its source and a confidence level. The agent invents neither a reference nor a price. "I do not know" is an allowed answer, and it is better than guessing.
The automation does not decide the final price, approve a discount, commit to a deadline, or answer an unhappy customer. Those decisions commit the company and remain with the responsible person, who approves, corrects, or rejects the prepared proposal. When that person is absent or overloaded, the request waits. A quote sent late may arrive after a competitor's.
The time the agent needs to prepare a proposal depends on the steps it crosses, not only on the model it uses.
· Today and with the agent
Today
A request arrives and waits until someone has time to open the management system, find the customer, and search for the reference.
With the agentLive
The request arrives. When the responsible person opens it, the customer is identified, references have been found, and the proposal is ready to review.
· What the agent does, step by step
Price request, order, follow-up, supplier response, or advertisement. Each message enters a category defined with you and reaches the right person.
The sender is matched with your customer records. If the customer is unknown or ambiguous, the agent flags the issue instead of deciding alone.
For the agent to identify the customer and the right reference, you first need to write what counts as an authoritative source in your business.
First in your catalog, then with your usual suppliers. Each requested line is handled separately. A request containing several references produces a distinct result for each one, not a single vague answer.
Customer, references, prices from your data, and the source and confidence level for each item.
You approve, correct, or reject the proposal with a simple response. Corrections are retained and inform future requests.
Research time is removed. Judgment remains with you.
· Approval and limits
No message to a customer or supplier is sent without explicit approval. This is a construction rule, not an optional setting.
A reference found in your catalog is not presented like an approximate supplier match. An uncertain line is marked uncertain, and a missing reference is reported as missing.
The agent begins by reading your tools without writing to them. Writing into management software, such as creating a quote, is enabled only through an officially supported method, after testing and with your approval.
Before launch, the agent works alongside your team for two to three weeks without sending anything. We compare its proposals with the replies actually produced and correct the system. You decide whether to launch after this period.
Every request has a record of what was read, found, proposed, corrected, and decided. You may take control at any time. You enter access credentials yourself, so they never pass through us. The system is hosted in your environment or on a European server.
Before connecting an agent to your inbox, answer four security questions in writing: what it can access, who approves outgoing work, who can review its actions, and how it is stopped.
Automating quotes removes information search, not judgment.
· Three common situations
A customer sends a list of references, some exact and some approximate. The agent handles each line separately: catalog matches, suggested matches marked with reservations, and missing items. The salesperson reviews a complete proposal instead of searching repeatedly.
The sender is not in the customer records. The agent flags that fact, gathers what the message and signature reveal about the company, and forwards the request to the right person with that context.
The agent searches suppliers you already use, identifies where the information came from, and gives a confidence level. If nothing is found, it says so. It invents neither a reference nor a price.
· What changes from today
The difference is not primarily in writing the quote. It is in the work before writing and in when the request is handled.
| Step | Today | With the agent |
|---|---|---|
| The message arrives | It waits in a shared inbox until someone has time to open it | It is read, classified, and routed to the right person |
| Identify the customer | Open the management system, search the name, and check history | Already matched with customer records or flagged as unknown |
| Find references | Search the catalog and then suppliers, line by line | Already researched with a source and confidence level for each line |
| Draft the proposal | Re-enter information from several screens | A proposal is ready to review and correct |
| Decide | The salesperson decides | The salesperson decides |
| Send to the customer | After human approval | After human approval |
The final two lines are intentional. Decision and sending remain human actions.
· How setup works
A free 20 to 30-minute review of how a request moves through your company today, your tools, and the decisions that must remain human. You receive a written opinion. If the need is broader than the task reviewed, we may propose a paid scoping engagement with written scope and quote before it begins.
Message categories, authorized sources, approval rules, and a fixed quote for the first workstation or inbox.
Read-only connection to email and your data, classification rules, proposal template, and tests using previous requests.
Two to three weeks without sending anything. We compare, correct, and then you decide whether to launch.
Monthly supervision and adjustments with no minimum term and one month's notice. Additional workstations reuse the proven foundation but receive their own written scope.
Start with one workstation. Add others only after the first meets expectations.
· Offer and quote
Setup is quoted once in writing before work begins. The figure depends on your scope and appears only after the discovery audit. Monthly support has no minimum term and requires one month's notice. Hosting and third-party tools are in your name and paid directly by you without a markup.

· Who it is for
A quote-preparation agent is relevant when answering a request requires finding information elsewhere. It is not relevant when requests mostly arrive by voice or when volume is low.
It depends on what the publisher supports. The discovery audit first checks what can be read through an official method and what cannot. We do not bypass software controls. If data cannot be accessed properly, we tell you.
It shows sources and confidence levels, and nothing is sent without review. An uncertain proposal is marked as such. Your corrections are retained and inform future requests.
The project starts with them. We describe their work together, and the agent removes research rather than decisions or customer relationships. The parallel period lets them judge real proposals.
The system is hosted in your environment or on a European server. The scope identifies the AI models used and the information sent to them. You enter access credentials yourself; they never pass through us.
That is the rule. Start with one workstation or inbox, then expand only after the first meets expectations.
Not in this way. Pricing done on site, by voice, or from a plan requires field-entry tools, not an agent reading an inbox. A quote agent is useful when the request arrives in writing and the response requires catalog or supplier information.
The system and documentation remain with you. You can maintain it yourselves or suspend it.
Review the prospecting agent. If requests involve message sorting, follow-ups, or CRM work rather than quotes, see custom automation. The shared framework is on the offers page.
Take 20 to 30 minutes to follow a request from your inbox to the quote. You leave with a written opinion, including when there is nothing useful to build.
